Subscription details
📅 Billing period
Your subscription is billed monthly in advance. The first charge occurs when you complete checkout after creating your account.
Subsequent charges occur automatically on the same day each month (e.g., if you subscribe on the 15th, you'll be charged on the 15th of every month).
🔄 Automatic renewal
Your subscription automatically renews each month unless you cancel. We'll charge the payment method you provided at signup.
You'll receive an email receipt after each successful payment. If a payment fails, we'll notify you immediately and retry for up to 14 days.
🚫 Cancellation procedure
You can cancel anytime from your teacher dashboard:
- Sign in and navigate to Settings
- Click "Manage subscription"
- Select "Cancel subscription"
- Confirm your cancellation
When you cancel:
- Your access continues until the end of your current billing period
- You won't be charged again
- Your data is retained for 90 days in case you want to resubscribe
- You can request immediate account deletion if preferred
- Fees already collected remain payable and are not refunded
💰 Refund policy
No refunds are offered under any circumstances. By starting a subscription you irrevocably waive any right to refunds, reversals, or chargebacks for fees already collected.
If you cancel, your access continues until the end of the current billing period and then stops. Payments already taken remain payable and will not be credited, prorated, or refunded.
Chargebacks for valid invoices result in immediate suspension. We provide extensive sandbox previews and documentation so you can evaluate the product before committing.

Fair use policy: Storage is limited to 5GB per teacher account. Files must comply with our Acceptable Use Policy (no pirated content, no illegal material).
🏢 Enterprise admin tier
The enterprise admin plan is designed for Multi-Academy Trusts, peripatetic agencies, and franchise studios that oversee multiple teachers.
- Tier 2 (£80/month) includes one enterprise admin seat plus up to 10 linked teacher accounts
- You can upgrade to Tier 3 (Enterprise Unlimited) for £150/month directly inside the enterprise admin dashboard; the change takes effect immediately with Stripe proration
- Teachers continue on the standard £10/month plan — the enterprise fee unlocks governance tooling and centralised billing
- Enterprise admins can enforce policies (2FA, retention limits, required templates) across all connected schools
- Centralised billing ensures one invoice and one payment method for the entire organisation, even after upgrading tiers
🔒 Payment failed?
If your payment method is declined:
- You'll receive an email notification immediately
- Your access continues for 48 hours
- We automatically retry payment daily for 14 days
- You can update your payment method anytime from the dashboard or resubscribe page
- After 14 failed attempts, your subscription is cancelled and access is suspended
You can resume your subscription anytime by updating your payment details.
⚖️ Billing disputes & chargebacks
Contact us first: If you believe a charge is incorrect, please email NBE@nugentweb.online before disputing the charge with your bank.
We will investigate billing errors and issue refunds where appropriate within 5-7 business days.
Chargebacks:
- If you initiate a chargeback with your bank/card issuer, your account will be suspended immediately pending investigation
- We comply with Stripe's chargeback policies and provide evidence to card networks for legitimate charges
- Fraudulent chargebacks (for services you received and used) may result in permanent account termination
- You remain liable for chargeback fees (typically £15-25) where disputes are found in our favor
To prevent unauthorized charges:
- You can cancel your subscription anytime from your dashboard (no charges after cancellation)
- Update or remove payment methods via Settings → Manage Subscription
- Monitor email receipts after each monthly charge
- Review subscription status regularly in your dashboard

📄 Your content ownership
You own your content: All lesson notes, files, pupil data, and materials you upload remain your property. You grant us a limited license to host and process that content solely to provide the service.
We own the platform: The software code, user interface, database structure, and all technical components are proprietary to Nugent Brothers Enterprises LTD. You may not reverse-engineer, copy, or redistribute any part of the platform.

Before subscribing, you agree to:
- Terms of Use – the contract governing your use of the platform
- Privacy Policy – how we handle your personal data
- Cookie Policy – cookies and tracking technologies
- Acceptable Use Policy – rules for uploaded content and user behavior
These terms are presented during signup and you must accept them before completing payment.
⚖️ Compliance & data protection
Lesson Ledger is fully compliant with:
- UK GDPR & Data Protection Act 2018 – we are the data processor; you remain the data controller for pupil/parent data
- Business-to-business exemption – subscriptions are sold to educators and organisations, so no statutory cooling-off period or refunds apply
- Consumer Contracts Regulations 2013 – clear pre-contract information and cancellation rights
- Electronic Commerce Regulations 2002 – transparent service provider information
Frequently asked questions
Can I change my subscription mid-month?
Teacher subscriptions stay on the flat £10/month plan. Enterprise admins can upgrade from Tier 2 (£80/month) to Tier 3 (£150/month) at any time inside the enterprise dashboard; Stripe prorates the difference immediately. Downgrades take effect at the next renewal once the current billing period ends.
How do I upgrade to unlimited teachers?
Sign in as an enterprise admin and open Settings → Subscription, or use the banner on your enterprise dashboard. Click “Upgrade to Tier 3” and confirm. Stripe updates your subscription instantly, charges the prorated difference, and your account can create unlimited teacher profiles right away.
What happens to my data if I cancel?
We retain your data for 90 days after cancellation in case you want to resubscribe. After 90 days, your account and all associated data (schools, pupils, files, messages) are permanently deleted. You can request immediate deletion via the GDPR tools in your dashboard.
Do pupils and parents need separate subscriptions?
No. Parent and pupil accounts are completely free. Only teachers pay the monthly subscription fee. You can create unlimited parent and pupil accounts at no extra cost.
Can I get an invoice for my subscription payments?
Yes. Stripe automatically emails you a receipt after each successful payment. You can also view your full payment history and download invoices from your dashboard settings.
Is there a discount for annual subscriptions?
We currently only offer monthly billing. Annual subscriptions may be introduced in the future.
What if I need more than 5GB of storage?
Our 5GB fair use limit covers most tutors comfortably. If you need additional storage, contact NBE@nugentweb.online and we'll discuss options.
